Turn Your Career Center Into an Always-On Engagement Engine with Playbooks
Association and Career Services teams are being asked to do more with less. You are expected to grow your community, deepen engagement, and drive new revenue – often with the same (or smaller) staff and limited time for manual campaigns.
That is exactly why we built Playbooks.
Playbooks automate the routine, “if this, then that” moments in your career center – things like welcome emails, profile nudges, and posting reviews – so your team can focus on higher-value work while members, students, and employers still get timely, relevant touchpoints.
What Are Playbooks?
SEE PLAYBOOKS IN ACTION DECEMBER 16th
Playbooks are simple automation rules inside your Web Scribble–powered career center. Each playbook has three parts:
- Trigger – when it runs (for example, a new job seeker registers, an internship is posted, or a member logs in)
- Conditions – who or what it applies to (such as “membership status is lapsed” or “package name contains ‘intern’”)
- Actions – what happens next (send an email, update a record, or both)
Think of Playbooks as a lightweight “career center autopilot.” They run quietly in the background, 24/7, nudging people toward the behaviors that grow your mission and your revenue.
You can use variables like name, membership type, organization, and key links to personalize every message without manually editing individual emails. Playbooks lives inside your career center and focuses on behavior-based nudges tied to jobs and profiles – it is not, and is not intended to be, a full marketing automation platform like Constant Contact or Informz.
Why Playbooks Matter for Associations and Higher Ed
When Playbooks are turned on, your career center becomes much more than a job board. It becomes a strategic channel that:
- Saves staff time by automating repetitive tasks you used to do manually
- Boosts engagement with timely, relevant messages tied to real user behavior
- Drives revenue through consistent, targeted promotion of premium postings, sponsorships, and membership upsells
- Improves data quality by automatically updating records as users take action
All of this supports your broader goals – growing careers so you can grow your mission, and improving student and alumni outcomes without adding more systems or staff.
Start Fast With Ready-Made Templates
You do not have to design automations from scratch.
Playbooks includes a library of ready-made templates, grouped by the goals that matter most to your organization. These templates come pre-configured with recommended triggers, conditions, and actions. You can simply customize the language and details for your audience, then turn them on.
We recommend starting here before you build anything custom, and then creating your own playbooks once you’re comfortable with how the templates work.
1. Grow Membership
Turn casual visitors and non-member job seekers into committed members by showing the value of joining your community.
Current templates include:
Promote Membership Benefits to Non-Member Job Seekers (Email)
When a non-member creates an account or applies to a job, this playbook automatically sends a tailored message that highlights member-only benefits – from exclusive career content to better access to employers – and directs them straight to your join page.
Apply-Driven Membership Upsell (Email)
When a non-member applies for a role, this playbook follows up with a short, timely message that connects that moment of motivation to the benefits of becoming a member, such as ongoing access to similar roles, career tools, and a supportive professional community.
These templates help you treat every non-member interaction in the career center as a potential membership touchpoint – without adding work to your team’s plate.
2. Boost Engagement
Once members, students, and alumni are in your ecosystem, Playbooks helps keep them active and returning to the career center as a core part of their professional journey.
Current templates include:
Member Welcome Email (Email)
When a new member or student first logs in or creates a career center account, this playbook sends a personalized welcome email that introduces your career center as a core benefit and points them to key features like job alerts, career paths, resume tools, and mentoring options.
Profile Completion Reminder (Email)
When a user creates an account but leaves important fields incomplete – such as their resume, skills, or job preferences – this playbook sends a friendly nudge that explains how completing their profile leads to better job matches, stronger visibility with employers, and more relevant opportunities.
These engagement playbooks make sure new users don’t stall at “account created.” Instead, they take the next step that makes your career center more valuable to them – and more valuable to you.
3. Drive Revenue
Playbooks also supports your non-dues revenue and sponsorship goals by adding smart guardrails and timely promotional prompts.
Current templates include:
Internship Posting Review (Workflow + Emails)
When an employer posts a job using an “intern” package or label, this playbook automatically flags the posting for admin review, updates the job status to “awaiting approval,” sends a clear email to the employer explaining the review process, and notifies admins with a quick link to the approval queue. This protects your internship offerings from misuse while still delivering a smooth experience to employers and staff.
Employer Discount Offer (Email)
When an employer meets certain conditions – such as posting a set number of jobs or lapsing in activity – this playbook automatically sends a tailored offer, for example a limited-time discount on a featured posting or a bundled package. That keeps your employer pipeline warm and encourages repeat revenue.
Together, these templates help you create consistent, revenue-generating motions that don’t depend on someone remembering to send “one more email” before the offer expires.
Built-In Flexibility and Control
Every ready-made template is fully editable:
- Change the trigger (for example, from “when an account is created” to “when someone logs in”)
- Refine conditions to target only members, only non-members, specific package types, or particular events
- Adjust actions – send emails, update records, or sequence multiple actions in one playbook
- Customize email content with your branding, voice, and links
And when you’re ready, you can also build brand-new custom playbooks from scratch using the same building blocks – triggers, conditions, and actions – to support the unique workflows and campaigns that matter most to your organization.
Playbooks is designed to complement, not replace, your existing email platforms and AMS tools. It works alongside systems like Constant Contact or Informz, giving your career center its own intelligent automation layer while your broader marketing automation still runs through your primary email solution.
